Getting started

What is CayRentManager?
CayRentManager is a property management platform built to help landlords and property managers organize rental properties, units, tenants, leases, rent tracking, maintenance requests, invoices, and property records in one place.
Who is CayRentManager built for?
It is built for Cayman Islands landlords, property managers, and small real estate operators managing one or more rental units. Tenants, vendors, and accountants can also join a workspace with their own role-appropriate access.
Is CayRentManager only for Cayman Islands landlords?
CayRentManager is designed first for Cayman — defaults are KYD, America/Cayman timezone, and Cayman-specific lease norms — but the platform works anywhere in the world. If you operate outside Cayman and want to evaluate it, get in touch.
How do I register?
Click Create workspace, enter your details, and confirm your email. You\'ll land in your workspace with onboarding steps to add your first property, unit, and tenant.
Can I use CayRentManager if I only have one rental unit?
Yes. The Starter plan covers 1–4 units and is designed for landlords with one or a few properties.

Property & tenant management

What can I manage inside CayRentManager?
Properties, units, tenants, leases, maintenance requests, work orders, vendors, invoices, payments, documents, and notifications — all under one workspace.
Can I add multiple properties and units?
Yes. Add as many properties as your plan allows, and put as many units inside each property as the building has. Each unit can have its own rent amount, deposit, photos, and active lease.
Can I track tenants and leases?
Yes. Invite tenants by email, store lease terms and dates, set renewal reminders, and capture lease-related documents like signed agreements and deposit receipts.
Can tenants submit maintenance requests?
Yes. Tenants can file requests directly from their portal with a description, category, priority, and photos. Landlords and property managers see them in a shared inbox and can dispatch to vendors.
Can I upload property documents and lease records?
Yes. Attach documents to a property, unit, lease, or maintenance request. Set visibility per-document so tenants only see what you want them to see (e.g., a signed lease) while internal documents stay landlord-only.

Rent, invoices & payments

Can I track rent payments?
Yes. Record payments against an invoice or lease, view rent ledgers per unit, and see overdue balances on the dashboard. Receipts are generated automatically when a payment is recorded.
Does CayRentManager support online payments?
CayRentManager is designed to support rent and subscription payment workflows. Where enabled, payment links may be used to collect payments online — see the Fygaro question below.
How does Fygaro payment integration work?
Where the workspace has Fygaro configured, payment links can be generated for rent invoices and subscription billing. Tenants pay on Fygaro's hosted page; CayRentManager records the result via webhook. Where Fygaro is not configured, manual payment recording is always available.
Can I send invoices to landlords or tenants?
Yes. Invoices can be created against a lease, optionally auto-generated for recurring rent. Tenants see open invoices in their portal. PDF receipts are emitted for completed payments.
What happens if a landlord subscription payment is overdue?
Where subscription billing is enabled, accounts may receive reminders and a grace period before features are limited. Adding new units is blocked while past-due; existing data stays accessible. SuperAdmin can review and adjust billing status.

Subscription plans

What are the CayRentManager plans?
  • Starter — KYD $49/month for 1–4 units
  • Professional — KYD $99/month for 5–10 units
  • Property Manager — KYD $149/month for 11+ units

All plans include the full feature set — they differ only in how many units the workspace is licensed for.

How does plan pricing work?
Pricing is per-workspace, not per-user. Tenants, vendors, and additional staff members on a workspace do not pay separately. You're charged based on how many units your workspace is licensed to manage.
What happens if I add more units?
CayRentManager checks your unit count against your plan's limit at unit-creation time. If you'd exceed the cap, the workspace prompts you to upgrade to the next tier. Existing units always remain accessible.
Can SuperAdmin give complimentary or free accounts?
Yes. SuperAdmin can grant a workspace COMPLIMENTARY status, set a manual override, or allocate extra "complimentary seats" so a specific landlord can run with more units than their tier normally allows.
Can promo or referral codes be used?
Where enabled, SuperAdmin may create promo, referral, partner, or complimentary access codes that provide discounts, free months, extended trials, or special account access. A landlord redeems a code during signup or from the billing page.

Maintenance & vendors

Can tenants submit maintenance requests?
Yes. From their tenant portal, with a description, category (plumbing, electrical, HVAC, etc.), priority, and optional photos.
Can I attach photos to maintenance requests?
Yes. Tenants attach photos when filing a request. Landlords, property managers, and assigned vendors can attach additional photos as the work progresses (before/after shots, receipts).
Can I track vendors and work orders?
Yes. Add vendors to your workspace, assign them to maintenance requests, and create work orders that move through Open → Dispatched → In Progress → Completed states. Vendors can also see assigned work in their own portal where enabled.
Can I see open and completed maintenance requests?
Yes. The maintenance dashboard filters by status, priority, category, property, and assigned vendor. SLA timers help you spot requests that have been open too long.

Security, access & roles

Who can access my property information?
Only people you invite to your workspace, with the role you assign. Tenants see only their own lease and maintenance history. Vendors see only the work assigned to them. Other landlords have zero visibility into your workspace.
What roles does CayRentManager support?
Landlord (owner), Property Manager, Accountant, Tenant, Vendor / Maintenance Provider, Concierge Agent, Guest, and SuperAdmin (platform-wide).
Can SuperAdmin manage landlord accounts?
Yes. SuperAdmin can review workspaces, adjust billing status, allocate complimentary seats, manage support tickets, and perform platform-level operations. Routine workspace activity stays under landlord control.
Can tenants see landlord-only documents?
No. Every document has a visibility setting — Landlord-only documents are never shown to tenants. Tenant-visible documents (like a signed lease) appear in the tenant portal.
Is my payment information stored in CayRentManager?
No. CayRentManager does not store raw credit card information. Payment processing is handled by approved external payment providers (such as Fygaro where enabled). Only references, statuses, and receipts are stored in the workspace.

Trials, referrals & complimentary access

Can I start with a trial?
Yes. New workspaces start in a trial state with full access to the platform. Trial duration depends on the active billing configuration; you'll see your trial end date in your account billing page.
Can referral or promotional codes be used?
Where enabled, yes. Codes can be entered during signup or from the billing page. SuperAdmin manages which codes exist and what benefits they grant.
Can a code give me a discount or free month?
Yes. Access codes support several reward types: percent or fixed discounts, free months, extended trial periods, account credit, and unit-limit bonuses.
Can a code grant complimentary access?
Yes. SuperAdmin can issue complimentary access codes that mark a workspace as COMPLIMENTARY — useful for partners, beta participants, and internal accounts.
How are referral benefits applied?
When a referred user redeems a referral code, the referrer may receive a configured reward (such as a free month or account credit). Both sides see the result reflected in their billing history.
